Privacy policy

This page explains, in plain English, what we do with the personal information of parents and students. Our students are under 18, so we are especially careful.

Who we are

Tri Tutors is run by [company name], company number [number], of [registered address]. We are the controller of the information described here. That means we decide how and why it is used.

What we collect, and why

  • Booking a free test lesson: a parent's name and email, an optional phone number, the child's first name and school year, the course, and any note you add. We use it to arrange and confirm the lesson.
  • The maths check: the child's first name, a parent's email, and the answers written on the check board. The tutor uses it to see where your child is.
  • Lessons: names and email addresses of parents and students, the class timetable, whether a student came, the type of device used (tablet or laptop), the work students write on their boards, and files the tutor shares. We use it to teach, to keep lessons safe, and so students can look back at their work.
  • Logging in: an email address and one-time codes. We never ask for a password. We remember which of your devices you use so the lesson opens in the right view.
  • Emails: booking confirmations, lesson reminders and changes. These are not marketing. If you email us, we keep the conversation.

Video and audio

Live video and audio pass between the people in a lesson. We never record video. We do not record audio. If we ever want to, we will tell parents first and ask for consent before anything is switched on.

Boards are saved as lesson notes. That is writing and drawing, not pictures of people.

Our legal reasons

UK GDPR says we need a lawful reason to use information. Ours are:

  • Contract: to provide the lessons you ask for, and to take steps you ask for before that, such as booking a test lesson.
  • Legitimate interests: to run a safe, working service, for example keeping security records and fixing faults. We keep this to what is needed and never let it override a child's interests.
  • Legal obligation: for example keeping accounts, and passing on safeguarding concerns when the law requires it.
  • Consent: only when we ask. You can say no, or take your consent back at any time.

Children

A parent or guardian signs a child up. We only create a student account after a parent or guardian has agreed. We never use children's information for advertising or marketing, we do not build profiles of them, and no computer decides anything about them without a person.

Tutors see only the students in their own classes. A student can never open another student's board, files or details.

Who we share it with

We do not sell personal information. We use a few trusted companies to run the service. They may only use the information to do that job for us:

  • Hetzner (servers in Germany): hosting and storage.
  • LiveKit (video calls during lessons).
  • Resend (sending emails).
  • Cloudflare (our domain, and storage for lesson files).

Where it is stored

Our own servers are in Germany. The UK treats the EU as providing adequate protection for personal information. Some providers above may handle information outside the UK and EU. Where they do, we rely on the legal safeguards UK law requires. [check with LiveKit and Cloudflare where your data is processed]

How long we keep it

  • Maths check boards and answers: 30 days, then deleted.
  • Lesson boards and notes: while the student is with us, and 12 months after they leave.
  • Emails you send us: 2 years.
  • Accounts and payment records: 6 years, because the law asks for it.
  • Security records: 90 days.

Cookies

This website uses no cookies, no analytics and no tracking, so there is no banner to click. The lesson app (app.tritutors.com) uses one cookie to keep you logged in. That cookie is strictly necessary, so the law does not ask for consent for it.

Your rights

You can ask to see the information we hold, to correct it, to have it deleted, to limit how we use it, or to object to how we use it. You can ask for a copy to move elsewhere. Parents can do this for their child. Email us and we will reply within one month.

Complaints

Changes

If we change this page in a way that matters, we will email parents before it starts.
